Checkout Periods: how long can you keep materials?

General library materials

  • Cal Poly Faculty, Staff, Graduate Students and Emeritus can check out materials for 90 days.
  • Undergraduate Students, Faculty/Students from other CSU campuses can check out materials for 6 weeks.
  • Community Users, Affiliated Borrowers, Alumni can check out materials for 3 weeks.

Special library materials

  • Browsing books: 3 weeks for all users
  • Bound periodicals: 3 weeks for all users

Recalls

  • All books, no matter to whom they are checked out, are subject to recall by the library.
  • If a book is needed for Course Reserves use, it will be recalled.
  • A recall notice is emailed with the new due date for the book.
  • If the book is not returned by the new due date listed on the notice, library privileges may be suspended and recall charges of $1.00/day will accrue. This charge is in addition to the maximum fines listed for book type and there is no maximum limit to these charges.

How to renew materials

  • Eligible library materials will renew automatically one (1) time. If they cannot be renewed, a notice to return will be issued. After one renewal, the item must be returned to the library.

Regulations

  • Items will not be renewed if you owe fines, have recalled books, or if your item(s) are on HOLD for another patron.
  • Only 1 renewal per item, then you must bring the item(s) to the library and re-check them out if still needed.
  • Certain items may not be renewable; inquire at the circulation desk.
  • You may also bring your items into the library to renew. Items will not be renewed by telephone.

Fines: Fine rates and how to pay them.

How to pay a fine

  • Fines may be paid by check at the circulation desk
  • To pay cash obtain a bill issued by the circulation desk and bring it to the State Cashier (Administration Building, Room 131E). To remove your academic hold immediately, return your paid receipt to the library’s circulation desk.

Fine amounts

Library materials (affiliated/public users) $0.20 per day per item ($15.00 per item maximum)
Interlibrary Loan $1.00 per day per item
Course Reserves hourly/daily loans $1.00 per hour per item ($50.00 per item maximum)
Items recalled $1.00 per day per item with no maximum limit.

Overdue fine policies

  • When library materials are checked out, a Loan Receipt email is sent indicating due date. Materials will renew one time if eligible. A Courtesy Notice will be sent when items are due.
  • Charges and fines are cumulative. They are not erased at the end of a quarter or an academic year. Once your account shows charges of $10.00 or more, you will be required to pay the entire amount before you may renew or check out any materials. All charges are due and payable upon occurrence. You may view your library account at any time to verify charges and due dates of materials you have checked out.
  • Academic holds are placed on student accounts when library charges are $10 or more. All charges must be paid in order to release this hold. Failure to pay these charges will suspend borrowing privileges and may delay registration.

Under the California Education Code, it is a misdemeanor to tear, cut, deface, or willfully detain any library materials.

Lost materials

Patrons are billed for lost library materials. A notice is emailed and library privileges are suspended until library charges are cleared. In addition, an academic hold is placed on the records of current and former Cal Poly students. The suspension and/or hold remain in effect until all library charges are cleared.

Book replacement costs vary, depending upon the subject matter. A patron billed for a lost or damaged item has two choices to clear his/her record.

  1. Pay the lost book fee as billed.
  2. Request to purchase a replacement at the circulation desk.
    • Library staff will submit a request to the applicable college librarian.
    • If approved, when you purchase the replacement and pay the $15 processing fee, the hold will be cleared from your account.

Notification

All circulation and Interlibrary Loan notifications will be handled via email. Make sure that your email information is current in the Cal Poly Portal.

You can also check your library account to renew books, check due dates, view fines and lost book charges, recalls, and holds.

Requests and holds: Hold a book currently checked out. Request a book you cannot find. Reserve a video for a class.

Placing a hold on a book already checked out

  • Locate the book in OneSearch.
  • If it is checked out you may “Place A Hold” on it by clicking the green “Place a Hold” button.
  • Enter your last name and barcode number from your Cal Poly ID or library card to reserve the book.
  • Placing a hold will generate a recall notice for the book, and reserve it for you when returned.

Requesting a book you cannot find

  • If a book is not checked out and you cannot find it in the stacks, you may place a search on it.
  • Bring the call number, author and title of the book to the circulation desk and fill out a search request.
  • If the item is found, you will be notified by email only.

To make a recommendation, use the Materials Request form which will go to our Information Resources and Resource Sharing department.

How materials are selected

Staff members research requests and consult with the relevant college librarian before placing orders. Information Resources and Resource Sharing also determines whether requested materials conform to existing collecting policies and guidelines for that discipline.

Faculty video reservation for a class

Faculty may contact circulation, 756-5760 to reserve a video for their class use. The video will be placed on the hold shelf under their last name. Videos checked out or not-on-shelf will be searched by circulation staff and faculty be informed of its availability.
