Checkout Periods: how long can you keep materials?

General library materials

  • Cal Poly Faculty, Staff, Graduate Students and Emeritus can check out materials for 90 days.
  • Undergraduate Students, Affiliated Borrowers, Alumni, Emeritus from other CSU campuses and Community Users can check out materials for 21 days

Special library materials

  • Browsing books: 21 days for all users
  • Bound periodicals: 21 days for all users

Recalls

  • All books, no matter to whom they are checked out, are subject to recall by the library after the user has had the material for 21 days, or less depending on material type.
  • If a book is needed for Course Reserves use, it will be recalled immediately and is due immediately.
  • When a request or hold is placed on a book by a patron, the computer then issues a recall notice and may assign a new due date for the book. If your book is recalled your due date may change. If the book is not returned by the new due date listed on the notice, your library privileges may be suspended and recall charges of $1.00/day per/item will accrue. This charge is in addition to the maximum fines listed for book type and there is no maximum limit to these charges.

How to renew materials online

  • Select My Account from any PolyCat web session.
  • Once in your record, click the button for “Items currently checked out”
  • Select items to renew and click “Renew Selected Items.”

Regulations

  • You will not be able to renew if you owe fines, have recalled books, or if your item(s) are on HOLD for another patron.
  • Check status messages to verify renewal. Only 3 renewals per/item, then you must bring the item(s) to the Library and re-check them out if still needed.
  • Certain items may not be renewable, inquire at the Circulation Desk or service desk where checked out.
  • You may also bring your items into the Library to renew. Items will not be renewed by telephone.
  • Overdue items renewed will add fine charges to your library record.

How to pay a fine

Cash or Other Forms of Payment
To pay cash obtain a bill issued by the Circulation Desk and bring it to the State Cashier (Administration Building, Room 131E). To remove your academic hold immediately, return your paid receipt to the Library’s Circulation desk.

Overdue fine policies

All books are due as stamped.
Fines accumulate only on days when the library is open, and are due when incurred. See below for instructions for paying fines.
Charges and fines are cumulative.
They are not erased at the end of a quarter or an academic year. Once your account shows charges of $10.00 or more, you will be required to pay the entire amount before you may renew or check out any materials. All charges are due and payable upon occurrence. After six (6) months charges are final and sent to Student Accounts for collection/tax offset. You may view your record at any time to verify your charges and due dates of materials you have checked out.
Holds
If you have been billed for a lost book or item which causes a registration Hold, or have been sent a fine notice stating you have a Hold on your records, you must pay any and all charges to release this Hold. Failure to pay these charges will suspend borrowing privileges and will delay your registration.

Under the California Education Code, it is a misdemeanor to tear, cut, deface, or willfully detain any Library materials.

Lost materials

Patrons are billed for lost books. A notice is issued and library privileges are suspended until library charges are cleared. In addition, a registration hold and transcript hold is placed on the records of current and former Cal Poly students. The suspension and/or hold remain in effect until any and all library charges are cleared.

Book replacement costs vary, depending upon the subject matter. A patron billed for a lost or damaged item has two choices to clear his/her record.

  • Pay the lost book fee as billed.
  • Obtain a “Request to Purchase Replacement Book” at the Circulation desk and, with help of library staff, determine an acceptable replacement for billed item and complete the form. Patron then provides library with replacement item, pays the $15 processing fee, and the hold is cleared.

Notification

All Circulation and Interlibrary Loan notifications with Cal Poly users will be handled via e-mail.

Make sure that your email information is current in the Cal Poly Portal.

Requests and holds: Hold a book currently checked out. Request a book you cannot find. Reserve a video for a class.

Placing a hold on a book already checked out

  • Locate the book in PolyCat.
  • If it is checked out you may “Place A Hold” on it by clicking the green “Place a Hold” button.
  • Enter your last name and barcode number from your Cal Poly ID or Library card to reserve the book.
  • Placing a hold will generate a recall notice for the book, and reserve it for you when returned.

Requesting a book you cannot find

  • If a book is not checked out and you cannot find it in the stacks, you may place a search on it.
  • Bring the call number, author and title of the book to the Circulation Desk and fill out a search request.
  • For either a recall or search, you will be notified by e-mail only.

Faculty video reservation for a class

Faculty may contact Circulation, 756-5760 to reserve a video for their class use. The video will be placed on the hold shelf under their last name. Videos checked out or not-on-shelf will be searched by circulation staff and faculty be informed of its availability. For further assistance faculty may contact Judy Drake (756-5790).
